Imagine getting a call that there is a leak in your six-bedroom HMO. Usually, this means an emergency plumber, shutting off water to the entire house, and six angry tenants who can’t shower before work. But what if you could isolate just that one sink with the turn of a single valve? This is the difference between an amateur landlord and a strategic investor.
Most investors focus on the finish—the paint colours, the furniture, the staging. While important, these don't keep the property running. If you don't design for management during the refurbishment phase, you are building a liability, not an asset.
One of the biggest time-wasters in property management is key handling.
— Strategy 1: Code Locks. Stop issuing keys for bedroom doors. Use code locks. If a tenant loses a key, it costs you time. If they forget a code, you text it to them.
— Strategy 2: Master Key Suites. For the main entrance, install a system where one master key opens every door in your portfolio, but the tenant key only opens the front door.
You must maintain control of the utilities without disturbing tenants.
— Strategy 3: The Landlord Cupboard. Create a locked cupboard in a communal area. House your fuse board, Wi-Fi router, and thermostat here.
— Strategy 4: Emergency Lighting Test Points. Install key-switch test points so you can test emergency lights without ladder climbing or disrupting power.
— Strategy 5: Electronic Fire Logs. Ditch the paper book. Use digital QR codes or e-logs to track safety checks remotely.
Water is the enemy of property.
— Strategy 6: Manifold Plumbing Systems.

- Strategy 7: Wall Panels Over Tiles. Tiles rely on grout. Grout fails. Wall panels are watertight, faster to install, and easier to clean.
- Strategy 8: Continuous Humidity Extraction. Tenants rarely open windows. Install mechanical ventilation (like a loft pump) that runs 24/7 to pull moisture out and prevent mould.
— Strategy 9: Hardwired Ethernet. Wi-Fi is great, but fire doors block signals. Ethernet ports in every room guarantee high speeds for working professionals.
— Strategy 10: Double Kitchen Stations. For 5+ tenants, install two hobs and two sinks. It reduces conflict and queues.
— Strategy 11: No Communal Carpets. High traffic areas destroy carpets. Use luxury vinyl tiles (LVT) for longevity.
— Centralise your fuse boards and meters in accessible areas.
— Invest in “boring” infrastructure like noise insulation and storage space.
— Digitalise your management logs immediately.
Properties are like people—they need to breathe, and they need to be looked after. By spending a little more budget on these 16 strategies upfront, you save thousands in management hours over the life of the investment.
